Overview

Workist AI Agent automates the intake of sales orders, purchase orders, and requests for quotation that arrive via email, PDF, or other unstructured documents. It reads incoming messages, extracts the relevant line items and metadata, validates them against master data, and posts the results directly into ERP systems such as SAP, Microsoft Dynamics, or industry-specific platforms. Designed for B2B operations teams, the agent aims to remove repetitive manual data entry from order management and procurement workflows. It can handle multilingual documents, varied supplier and customer formats, and edge cases that typically require human review, while flagging exceptions for clerks to confirm. Workist is positioned for mid-market and enterprise companies in distribution, manufacturing, and logistics that process high volumes of inbound business documents and want to shorten lead times without changing how their partners send orders.

Use cases

Automate sales order intake from email

Capture customer purchase orders sent via email or PDF, extract line items, validate against master data, and post them directly into SAP or Dynamics without manual rekeying.

Streamline RFQ processing

Convert incoming requests for quotation in varied supplier formats into structured ERP entries, accelerating quote turnaround for B2B sales teams.

Handle multilingual supplier documents

Process purchase orders and order confirmations from international partners in multiple languages, normalizing them into consistent ERP records.

Exception review for order clerks

Route low-confidence extractions or unmatched master data to a human review queue so clerks focus only on edge cases rather than routine entry.

Solid for our team

We rolled this out across the team last quarter and exception handling with human-in-the-loop review. Master data validation and matching fits neatly into how we already work, and eRP system integration (SAP, Dynamics, others) removed a step we used to do by hand. but it has held up under daily use.

Compared a few options

Evaluated this against two competitors. Where it wins: eRP system integration (SAP, Dynamics, others) and handles unstructured email and PDF inputs. On balance the feature set — especially master data validation and matching — justifies the 5 stars for our use case.

Use it every day

Honestly didn't expect to like it this much. Order and RFQ processing workflows is exactly what I needed, and handles unstructured email and PDF inputs. but I reach for it almost every day now and it just clicks.

Does the job

Pretty happy overall. Multilingual document support just works and reduces manual order entry workload. but no dealbreakers — I'd recommend it to a friend without hesitating.

Q&A

Who is Workist a good fit for?

Workist is a good fit for companies that receive orders every day and want to process them automatically.

Asked by Ingrid Bauer · Apr 23, 2026

Who isn't Workist a good fit for?

We currently don't process transport orders, so Workist isn't the right fit for pure logistics companies at the moment.

Asked by Katarzyna Zielinska · Apr 12, 2026

What are the benefits of Workist?

The Workist AI agent reduces manual work, speeds up processes, and lowers errors in document processing.

Asked by Lucas Petit · Apr 8, 2026

How long does the implementation take?

Depends on the ERP. NetSuite and Business Central are usually live in a week. SAP S/4HANA and ECC take about six weeks, because the Z-program package is deployed through our partner Syncwork via transport request into your tenant. As an alternative to the API or native connector approach, Workist can also be connected classically via EDI through SFTP or AS2. The process stays similar: kickoff, master data alignment, configuration of document types, end-to-end test in the sandbox, then go-live. We don't need custom code in the ERP core, and template training per supplier is completely off the table.

Asked by Marcus Bell · Mar 24, 2026

How does Workist prevent incorrect data from reaching the ERP?

The Workist AI agent validates all extracted data against the master data in your ERP system. If errors or uncertainties come up, the team is proactively involved to ensure error-free transfer.
